Reward Management

Rewards are special incentives of any form to acknowledge a person's achievement. Rewards also serve as a motivation for people to push themselves further and achieve big. To give this motivation to the users of Gamification , Zoho CRM comes with two types of virtual rewards - Trophies  and Badges .

 

 Trophies

Trophies are special rewards given to players who achieve the maximum score in a particular parameter in a particular game.

  • Each parameter is associated with a trophy.
  • Trophies for a game are awarded only based on the performance during that particular game period.
  • By default Zoho CRM has five trophies.
  • Users can create up to 10 custom trophies to their CRM account.

 Add New Trophies

To add a new trophy

    1. Click [Settings icon].
    2. In the Gamification page, click Trophies > Add new .
    3. Specify the required details in the New point configurationwindow.
      • Name - Give a suitable name for the parameter.
      • Module - Select the module on which the action has to be performed to win the trophy.
      • Action - Select the action that has to be performed in the module.
      • Trophy icon - Select an icon to represent the trophy from the list of available icons and name it as per your choice.
      • Filter Criteria - Mention the criteria for the action to be performed .
      • Add Criteria Name - Give a suitable name for the criteria for easy identification.
      • Points - Specify the points to be awarded each time the action is performed

For example, if the trophy is to be awarded to user who converts maximum leads (with advertisement as their source) , Choose Leads as the module and Convert as the action and under filter criteria choose Lead Source is Advertisement and specify the points for the action.

  1. Click Add.

 Edit Trophies

To edit the existing trophies

  1. Click [Settings icon].
  2. In the Gamification page, click Trophies > Edit .

  3. Modify the details as required in the Update Point Configuration window and click Update.

Note

  • Default trophies cannot be edited.
  • Modifications include changing trophy name , adding new criteria , changing the points awarded, etc.

 Disable Trophies

Once a trophy is created it automatically gets enabled and every game created thereon will include this parameter to decide the winner. However the user can disable the parameters if required.

To disable the trophies

  • Click [Settings icon] and in the Gamification page click Trophies.
  • Uncheck the Trophy that has to be disabled .

  • The games created thereafter will not include this parameter to calculate the scores.

 

 Badges

Badges are time specific rewards awarded to users who achieve certain goals within the specified time.

  • To win a badge , the user need not be a part of any game.
  • Badges are game independent rewards.
  • Similar to Trophies , the number of default badges is also five.
  • The user can create a maximum of 10 custom badges making it a total of 200 badges.

 Add New Badges

To add new badges

  1. Click [Settings icon].
  2. Click Badges > Add New.
  3. Specify the required details in the New Badge configurationwindow.
    • Name - Give a suitable name for the Badge.
    • Module - Select the module on which the action has to be performed to win the trophy.
    • Action - Select the action that has to be performed in the module.
    • Cumulative Count - The totals number of times the action has to be performed to win the badge.
    • Within - Specify the time within which the action has to be completed for the specified cumulative count. The time limit can either be in Hour(s) , Day(s) or Year(s).
    • Badge icon - Select an icon to represent the badge from the list of available icons and name it as per your choice.
    • Filter Criteria - Mention the criteria for the action to be performed .
    • Add Criteria Name - Give a suitable name for the criteria for easy identification.
    For example, if the badge is to be awarded to user who converts 10 leads (with advertisement as their source) within 15 hours , Choose Leads as the module and Convert as the action. The cumulative count is given as 10 and the time duration is mentioned as 15 hours. Under filter criteria choose Lead Source is Advertisement.
  4. Click Add.

 View Achievements

You can view the number of trophies and badges won by the users of your organisations in the Achievements page. This page also displays success rate of a user in a particular parameter. The success percentage for a trophy is the ratio of the number of times the user has won the trophy to number of games played by the user( that invloves this trophy).

To the view the achievements of an user

  1. Log in to your CRM account and click [ Gamification icon ].
  2. Click Achievements tab in the Gamification page.

This page displays the following parameters.

  1. User name - By default, this page will display the achievements of the user who is currently logged in to the CRM system. You can also view the achievements of other users by selecting their name from the drop-down list.
  2. Games won - This will be displayed as the number of games in which the user was placed First(indicated as Gold), Second(indicated as Silver) and Third(indicated as Bronze). This is based on the cumulative scores obtained by the user in a particular game and not based on the trophies won by them.
  3. Trophies and Badges won - This page will also display the number of trophies and badges won by the user.
  4. Trophies details - Apart from providing the number of trophies won, this page will provide a detailed analysis on the trophies won by the user. A list of all trophies won by the user will be listed down along with the success rate. Clicking on a particualr trophy will provide further details on the number of times the user has won that trophy.
    Success rate - It is the ratio of the number of times the user has won the trophy to number of games played by the user( that invloves this trophy), expressed in percentage. For example, if the user has played 10 games invloving a particular trophy and has won this trophy 4 times, then his success rate will be 40%. This will help you in identifying the areas in which the user is highly efficient and can allot him for that particular work. For instance, if a user has higher success rate in closing deals, he can be asked to work on closing more important deals.
  5. Badges details - Similar to trophies details, you can also find out the number of times a user has won each badge.

 View Badge Status

You can view the current status of the active badges. Status indicates the time left and the amount task required to be completed within that time for the user to win the badge. For instance if the badge's criteria states that the user has to close 5 deals in 24 hours. The Badge status page will display the number of Deals closed ( say the user has closed 3 deals, it will be displayed as 3/5 deals) and the time remaining ( for example, 16hrs 10mins remaining).

To view the badge status

  1. Log in to your CRM account and click [ Gamification icon ].
  2. Click Badge status tab in the Gamification page.
    This page will display the current status of all the active badges.

 Frequently Asked Questions

1) I am not receiving any trophies in spite of winning games. Why?

Winning a game does not ensure trophies. This might have happen in cases where you achieve the maximum cumulative points but do not get a lead in any of the parameters. For instance , in a game played by 5 users , You might gather points equally in all the parameters involved which add up to be the maximum cumulative score. Other users may perform extremely well in a single task/parameter to win the trophy associated with it. But might end up losing the game as they haven't performed well in the other tasks.

2) Can i delete the trophies and badges permanently?

No. It is not possible to delete them permanently.

3) Does disabling the trophies affect the completed games?

No. Disabling the trophies do no cause any change in the games that have already completed or are ongoing. Disabling the trophies will only prevent the parameters from getting included

in the future games.
