The Inventory Modules in Zoho CRM - Quotes, Purchase Orders, Sales Orders and Invoices - have been revamped to be more user-friendly. This transition guide will help you understand the changes made so you can work with these modules without any difficulty.
Earlier you had to add products and fill in the details manually.
Now, to add products, click the +Add Line Items link below the Product Details section.
In the Choose Products popup, type in at least one character of the Product Name or Product Code to search for the desired product and choose it from the drop-down. The only way to add products is by choosing them from the drop-down. You cannot add them otherwise. Also, the search results are affected by words seperated by a space. For example, typing "P" will bring up "i pad", provided the product name is stored as "i pad" (as two words). If it is stored as "ipad", typing "p" will not bring up the product. To bring this up, you must type "i”.
To know more about a product listed in the drop-down, point your mouse to the Info icon next to the product.
Once you add the products, all the associated details such as the product description, tax and list price will get populated automatically. You do not have to fill the details manually.
Earlier, you could not delete the first item in the list. Now you can delete, reorder, edit any item at any time.
To edit the details of a line item, click on the Edit icon that appears when you point your mouse to a value such as tax or discount. Editing a value changes any related values automatically.
Often we make adjustments in the grand total. Earlier, you had to select "plus" or "minus" and then specify the amount to be adjusted. Now you can directly enter the amount in the Adjustment field. Example: "-1500". The total will be calculated accordingly.
When you select a contact, the contact address associated will now get populated automatically. Earlier this was available only for Accounts and not Contacts. Now this has been made available for Contacts as well.
Earlier, the Price Book Information, Total After Discount, Unit Price and Quantity in Stock were part of the product details. Screen-grabs of the previous and present versions are mentioned below.
Now, to view the Price Book Range and Discount details, click on the DiscountInfo icon.
To view Total After Discount, point your mouse to Discount.
To view Unit Price and Quantity in Stock, point your mouse to the Product Name/Product Code.
Earlier, any price book discount that applies to a product was not shown as part of the product details. This made the total appear like a mistake, though it was not.
Now, to remove any confusion, discounts are displayed as part of the Product Details section.
Earlier, the stock information auto-updates sometimes had discrepencies. Now the discrepencies have been fixed. To read the logic behind these updates with appropriate examples, refer to this document .
