Egnyte for Zoho CRM

Egnyte is an enterprise level file sharing and synchronization software. The Egnyte extension helps salespersons using Zoho CRM to store and track the files that are used everyday, like bills, invoices sand quotations. Once both the accounts are synced, all these files can be managed and sent to leads and customers with greater ease.

Availability

Editions required: Standard, Professional, Enterprise and Ultimate (Including Trial)
Profile Permission: Administrator Profile

Note:

  • Only administrators can install this extension.
  • The extension will be available for standard and above editions of Zoho CRM, along with a free trial of 15 days.
  • Users are required to have an Egnyte account as well.
  • The email address used to sign in to Zoho CRM account and the Egnyte account should be the same.
  • The extension can be used with the Leads, Contacts, Accounts, Deals and Cases modules.

Install the extension

You can either go to the Zoho Marketplace and install the Egnyte extension or log in to your Zoho CRM account and install it.

To install it from within Zoho CRM

  1. Go to Setup > Marketplace > All.
    All the installed extensions will be listed.
  2. Click All Extensions, browse for Egnyte and click it.
  3. Click Buy Now.
    You will be redirected to the payments page, where you can purchase it. After purchasing a pop-up box will be displayed to install the extension.
  4. In the popup, click Install Now.
  5. Agree to the Terms of Service and click Install.
  6. In the Privacy Declaration box, read the statement and click Agree and Continue.
  7. In the Choose Users/Profiles section, select the users for whom the extension needs to be installed.
    • Install for admin only - The extension will be installed in CRM for only the users with the administrator profile.
    • Install for all users - The extension will be installed in CRM for all the users. Users need to have an Egnyte account, and be a part of the same domain to use this feature.
    • Choose profiles - The extension will be installed for the users in the selected profile. Choose this option, click Continue and then select the required profiles.
  8. Click Authorize to enable synchronization between the two applications.
    If you skip this step, you can later authorize from Settings > Setup > Marketplace > All. In the Egnyte extension details page, you can click Authorize.
  9. In the pop-up, specify your Egnyte domain name (eg:zykler.egnyte.com) and click Save and Authorize .
  10. Click Allow Access to grant Zoho CRM the access to Egnyte, so that you can upload and share files inside your CRM to your Egnyte account.

Sharing files between Zoho CRM and Egnyte

Whenever you create a contact or a lead in Zoho CRM, a folder will be automatically created inside your Egnyte account. You can then upload files to this folder and it will be listed under the related lists of your record.

To share files from Zoho CRM

  1. Go to the Leads, Accounts, Contacts, Cases or Deals modules.
  2. Click on a record to which you want to add or share documents.
  3. In the record's details page, click Add File to Egnyte.
    Your files will be automatically added to your Egnyte account in their respective sub-folders, from where you can view them separately.
  4. View files added in Egnyte.

Add files from Egnyte to Zoho CRM

  1. In Egnyte, click the module for which you want to store a file and create a sub-folder for the particular record.
  2. Add a file or folder in the designated location and it will show up in the related list of that particular record in Zoho CRM.

Uninstall the extension

When you uninstall the Egnyte extension, please note that all the data in Zoho CRM, related to Egnyte will be deleted on uninstalling and cannot be recovered.

To uninstall the Egnyte extension

  1. Go to Setup > Marketplace > All.
    All the installed extensions are listed.
  2. Browse for Egnyte and click the corresponding Uninstall link.
  3. Click Ok to confirm.
